The organization’s existing processes are not meeting the demands for growth and productivity. According to one source, “the successful adoption and implementation of an information system depends on the proper assessment of numerous individual, technology, task, organizational, and environmental factors” (Turban & Volonino, 2009, p. 28). Organizational systems analysis and design, databases, programming, networking, and the web each have a function with regard to the four use cases presented for inventory, accounts payable, accounts receivable, and payroll. Systems Analysis and Design Systems analysis and design plays a role in how users need to create and track transactions within the system, customization of standard forms, which are specific to each accounting department, and setting up and updating records. …A systems analysis will usually uncover important aspects of a proposed information system that are not typically considered in an investment analysis, such as usability of the end user interface” (Bajaj, Bradley, & Cravens, 2008, p. 100). Each use case presented is designed specifically to the department through this process of determining what organizational stakeholders require from the software program. Databases Databases play a role for the implementation of industry specific software for users and customers of Kudler Fine Foods.
The use cases provided information on how data is readily available for use in reporting or forecasting future business. A relational database would be beneficial to the organization as it “…is usually designed with a number of related tables” (Rainer & Turban, 2008, p. 111). The tables are set up to give the user information on relational data from several accounting departments within the organization. Programming Programming is left up to the IT personnel for current and future customizations. The role of programming in industry specific software is through the development phase and can include complex variables for each user group.
According to one source, “developing programming and documentation standards (to make auditing easier and to use standards as guides for employees)” (Turban & Volonino, 2009, p. 173) is best practice for any organization. The use cases presented can have alternative programming for each department specific to user preferences and job descriptions. Networking Loyal consumers and other organizations form the basis for a company’s network. The local growers in Kudler’s market share develop an important role for networking.
With the improved processes through acceptance of credit/debit cards and expedited form processing, Kudler provides its local growers with a more efficient process. Social and virtual private networks (VPNs); which can be used “…without being constrained by the need for dedicated connections, mobile users can access the organization’s network from properly configured remote devices” are a large part of the organizational process through the Internet or company’s Intranet (Rainer & Turban, 2008, p. 88). These networking tools can provide financial data to internal and external stakeholders.
The Web The web plays a role in the future success of the business, as this forum is where many consumers retrieve information about a company to make an informed decision if they want to purchase products and/or services. Development of financial information to supply to consumers on the web plays a valid role in assisting the organization in obtaining potential customers and future relationships with other organizations or vendors within the market. Consequently, the web is a source that can make or break an organization just through presentation. Conclusion
Kudler Fine Foods’ software implementation for inventory, accounts payable, accounts receivable, and payroll is a continual development process. The roles of systems analysis and design, databases, programming, networking, and the Web coincide with the processes to be implemented. “A primary mission of the accounting/finance functional area is to manage money flows into, within, and out of organizations (Rainer & Turban, 2008, p. 346). The goal of implementing industry specific software into the accounting processes of Kudler Fine Foods will be to manage the cash flow as effectively as possible.
